„Cyber24 Day” Conference Regulations

§ 1

General Provisions

  1. These regulations (hereinafter referred to as the Regulations) define the conditions for participation in the event entitled Cyber24 Day (hereinafter referred to as the Event). If the conditions of participation are also specified in other documents, e.g. in the description of the Event, the regulations of the facility, the application form or ordering services related to the Event, the Regulations will supplement these documents and apply to the extent not regulated therein.
  2. The organizer of the “Cyber24 Day” conference is Defence24 Sp. z o. o. with its registered office in Warsaw (00-372), ul. Foksal 18, KRS: 0000427851, NIP: 1132857583.
  3. The purpose of the conference and of the series of expert debates is to discuss key issues related to the implementation of the national cyber security system, exchange experiences and to develop recommendations in this regard.

§ 2
Terms and Conditions for the Participation

  1. The number of participants at the conference is limited.
  2. The condition for participation in the conference is the registration of a person through the application form provided to the Organizer via the on-line registration system or in another way, within the time limit specified by the Organizer. In the case of paid participation, the condition for participation or obtaining additional services related to it will be – instead of or in addition to registration – an order, payment of the corresponding fee.
  3. The Organizer specifies in the application form, order or otherwise, the requirements and data of the Participant necessary to register for a given Event, acquire the right to participate in the Event, receive the newsletter or use certain services. If it is justified by the nature of the Event, free participation or restrictions related to the venue, the Organizer may refuse to register or make the registration of a given person conditional on additional verification, granting additional consent to the use of data or on a specific date of application.
  4. In the event of registering on behalf of another person and entering someone else’s data, the person entering this data guarantees that he has obtained due authorization to register, set up an account or make statements required for registration, and is responsible for any consequences of entering data contrary to such authorization. In the event of registration for more than one person, the person registering should submit separate applications for each of them (with a separate account/e-mail address for each person registered for the Event).
  5. For certain types of participants, e.g. journalists, exhibitors, guests, speakers or buyers of services, the Organizer may provide for special rules for registration or access to facilities, in particular involving their registration by the Organizer itself or the use of additional identification badges confirming the right to the services (e.g. photography). If the Participant is registered by the Organizer, it will be made on the basis of the data provided by the Participant, his representative or publicly available data.
  6. Information and statements related to participation in the Event or ordering additional services related to it will be sent to the Participant’s e-mail address. A statement sent to such an address shall be deemed delivered to the Participant who has been registered using the given address. A change of address requires notification of the Organizer.
  7. The Organizer reserves the right to refuse registration and reject the Participant’s application for participation in the Event without giving a reason. The decision to accept or reject the application will be sent to the e-mail address indicated in the application form.
  8. Only an adult person may be a Participant, unless the Organizer grants individual consent to other persons to participate as well. If a person under the age of 13 is allowed to participate in the Event, their legal guardian is responsible for their compliance with the Terms and Conditions.
  9. The condition for registration is the expression of consents contained in the application form.
  10. The method of application, deadlines for submitting the application and hours of registration on the day of the Event will be provided by the organizer in e-mail or traditional correspondence.
  11. Application for participation in the Event is tantamount to acceptance of these Regulations.
  12. The costs of travel, accommodation and meals are covered by the Participant on their own.

§ 3
Rights, obligations and liability of the Organizer

  1. Unless the terms of participation in a given Event provide otherwise, the Organizer provides the participant with access to the relevant parts of the facility where the Event takes place and a form of participation and contact with other participants appropriate to the nature of the Event, in exchange for open participation in the Event and enabling the Organizer to contact each other. and other participants. Anonymous participation in the Event is excluded, except in special cases and with the Organizer’s consent.
  2. Due to the need to ensure safety, comfort and the possibility of verifying the Participants’ entitlements, the Organizer identifies them, for example, by means of individual accounts on the online registration service or personal identifiers. The Organizer reserves the right to control and verify the identity of the Participant and his authorization to enter the facility or services related to the Event, e.g. in the form of a request to show an ID. If the Participant has not provided all the required data as part of the registration, refuses to show the ID or there are doubts as to the compliance of his data with the data on the presented ID, the Organizer is entitled to control and verify the identity in another available way, e.g. by identifying the Participant during the Event.
  3. The organizer assures that he will make every effort to guarantee the organizational conditions of the conference in accordance with the description of the event.
  4. The course of the Conference will be recorded photographically and by means of audio/video devices, including it may be broadcast on the radio, television or by other means enabling public access in such a way that everyone can access it at a place and time of their choice (e.g. on the Internet). Participation in the Event is public, and therefore the Participant’s silhouette or image taken individually or as an element of a larger whole may be intentionally or accidentally documented by photograph, sound or video, and the materials obtained in this way may be disseminated by the Organizer and press representatives for information and promotional purposes related to the Event, other Events and the activities of the Organizer, sponsors and partners of the Event (including via websites, e-mail, social media and in the printed press). Notwithstanding the foregoing, the course of the Event may also be monitored for security reasons.
  5. The Organizer assumes that the Participant taking part in the Event accepts the possibility of recording and using his figure or image as a participant of the Event as indicated above. If for any reason the Participant does not accept the specific use of his image as above, he will notify the Organizer, who is then obliged to immediately suspend the use or base the use on a legal basis other than consent.
  6. If, in connection with registration for the Event, participation or use of services related to the Event, the Participant provides the Organizer with any materials, e.g. – the Organizer and sponsors and partners of the Event – for their use in accordance with the agreed purpose, including as part of websites informing about the Event and recording or monitoring the course of the Event, as above. The Participant guarantees that the use of these materials as above will not infringe any rights of third parties.
  7. The Organizer determines the conference schedule and reserves the right to change the Conference program, even on the day of the Conference, including the right to change the timetable and the order of speeches.
  8. Changes in the conference program referred to above cannot be the basis for directing financial claims against the Organizer.
  9. The organizer reserves the right to cancel the conference in the event of fortuitous events.
  10. The Organizer is not responsible for items belonging to the Participant that may be lost, damaged or stolen during the Conference.

§ 4
Rights and obligations of the Participant / Exhibitor

    1. The Participant undertakes to comply with the requirements of these Regulations, as well as comply with the safety rules during the Event, as well as instructions and organizational and technical instructions of the representatives of the Organizer and the facility where the conference takes place.
    2. Participants are fully financially responsible for any damage they cause on the premises where the Conference is held.
    3. Participants may move around the facilities only within generally accessible and marked spaces and communication routes, in accordance with the instructions of the Organizer and facility manager.
    4. Participants of the Event should participate in the Event openly and in person, in particular, they may not assign the rights or part of the rights related to registration or services under the Event to other people or transfer identifiers or tickets to other people. Assignment of rights to other entities will be possible only for random reasons beyond the participant’s control, after the Organizer’s approval.
    5. Subject to specific conditions applicable in separate parts of the facilities where the Event takes place or individual consent of the organizer, the following are prohibited on the premises: smoking, using electronic cigarettes and drinking alcohol, blocking communication and evacuation routes, using open fire and gas cylinders, using makeshift electrical installations, bringing chemical substances into the exhibition area, blocking access paths to fire-fighting devices and evacuation passages. About the conditions and location of places where smoking, alcohol consumption or other of the above may be allowed behavior is decided solely by the Organizer.
    6. It is forbidden to bring into the facilities where the Event takes place: weapons, pyrotechnics and other dangerous materials, including those that may lead to fire, damage to property or damage to the health of the participant or other people. This also applies to devices and materials associated with assembly, adaptation or disassembly, which may involve the use of high temperatures or flammable chemicals. In justified cases, bringing to the facilities of the above-mentioned devices or materials will be possible with a special permission from the Organizer and the manager of the facility and provided that they are used by persons with appropriate authorizations and security. Apart from the cases expressly permitted by the Organizer, it is forbidden to move or remove from the facilities or places designated by the Organizer, any equipment of the facilities or equipment related to the course of a given Event.
    7. The Organizer has the right not to allow a person intoxicated or under the influence of other intoxicants to enter the premises where the Event takes place, persons who have a third party ID, refuse to show an ID or other identity document, as well as any person whose behaviour is associated with aggression, violation of the principles of social coexistence, risk to personal rights, property, health, order or public morality. In the above cases, the Organizer is entitled to report a given case to the security services or law enforcement authorities. The Organizer is not responsible for damages to participants resulting from not allowing or removing a given person from the facility where the Event takes place; he is also not obliged in such a case to return the fees paid in connection with such participation.
    8. Exhibitors
      a) The right to participate in the Event as an exhibitor and the reservation of the appropriate space is acquired on the basis of an appropriate commission/order for services related to the Event. The Exhibitor is the Participant with the right and obligation to use a specific area of ​​the facility or the time of the lecture for its own information or marketing purposes. To the extent not regulated in such a commission/order or the Regulations, the conditions for the exhibitor’s participation in the Event are also specified in the regulations of the facility where the Event takes place and the provisions of civil law regarding lease for a fixed period.
      b) The Organizer decides about the location of the exhibition space. Brands, advertising materials, items and the manner of their display within the time or exhibition area require the Organizer’s approval in terms of their compliance with the nature of the Event, the terms of facility rental and the accepted aesthetic and technical standards. The exhibitor is solely responsible for the compliance of their display with the law, in particular with the provisions on advertising or unfair competition.
      c) The Exhibitor adapts the space in an aesthetic and complete manner, appropriate to the nature of the Event and the properties of the facility. In the event of any deficiencies in this regard, the Organizer is entitled to make appropriate changes at the exhibitor’s cost and risk (in the octanorm system according to the express service price list). The conditions and scope of providing media for a given area require separate arrangements with the Organizer.
      d) Making exhibition time or space available to other entities requires the Organizer’s consent.
      e) The Exhibitor undertakes to carry out the necessary assembly, adaptation and disassembly within the time limits set by the Organizer and the manager of the facilities where the Event will take place, but not exceeding the period agreed in the order of services related to the Event. In particular, assemblies and adaptations must not interfere with the preparations of the Organizer or other participants and must be completed before the start of the Event, and disassembly must take place by the end of the last day of a given participation in the Event. Throughout the period agreed in the order, displays intended for exhibition areas must be available to other participants of the Event as intended.
      f) The Exhibitor is obliged to return the exhibition space to the Organizer in the condition in which it was made available to it, free of any dirt and objects, with the equipment that was issued to it. The Exhibitor is liable on a risk basis for damages and other damages related to the use of a given area and equipment. The organizer is authorized to remove dirt, objects and damage at the expense and risk of the exhibitor.
      g) The provisions of point 3 of the Regulations shall apply accordingly to exhibitors, materials, objects and persons presented within the time or exhibition space. In particular, only persons authorized by the exhibitor who will be registered for the Event or for whom the exhibitor will obtain appropriate identifiers may have access to the exhibition facilities and spaces, including for the purpose of adaptation.

§ 5
Personal Data Protection

  1. The administrator of personal data is Defence24 Sp. z o. o.
  2. By registering, the Participant agrees to the processing of their personal data with regard to participation in the Conference and acknowledges that they will be processed in accordance with the Organizer’s Privacy Policy.
  3. Participants have the right to access their personal data, correct them and request removal. Providing personal data is voluntary, but necessary to participate in the Conference.
  4. The Organizer reserves the right to use an external service for registration.
  5. With the Participant’s consent, the collected data may be stored in one or more databases directly or indirectly maintained by the personal data Administrator.
  6. During the Conference, the Organizer may conduct photo and video sessions. Participation in the events is combined with consent to the use of the image of each of the Participants, Speakers and Hosts in information and promotional materials. A person who does not give such consent is obliged to inform about this fact to the following address: [email protected] no later than 2 days before the date of the Conference.
  7. The Organizer reserves the right to use and publish the Participant’s company name, affiliation, country of origin, free of charge, on the list of participants, on the website and social media channels, to which the Participant agrees without any time limit.
  8. The Organizer reserves the right to use and publish the Participant’s image free of charge for information and promotion purposes related to “Cyber24 Day”, to which the Participant irrevocably agrees, without time limits.
  9. During registration at the Cyber24 Day reception, the Participant receives a personal identifier containing the name of the company provided during registration.

§ 6
Final Provisions

  1. The Organizer reserves the right to amend these Regulations.
  2. In matters not covered by these Regulations, the relevant provisions of the Civil Code shall apply.
  3. The Regulations shall enter into force on July 1, 2023.
